HDC Studio Policies

Registration: Registration Fee: $35 for one student, $50 for family

Payment Methods: Electronic payments can be made in your Dance Studio Pro parent portal account (credit card, e-check, and ACH). Cash or check (made payable to Haverford Dance Center) may also be made at the front desk.

6-Week Tuition Installments: Tuition payments will be due upon registration. For each 6-week session, your tuition fee will be posted to your Dance Studio Pro parent portal account. Tuition fees will be posted 2 weeks prior to their due date and an email reminder will be sent.  Please view our Calendar of Events for tuition due dates. Please note that if you are enrolled in Autopay, your account will be charged on the Wednesday following tuition due dates. The last installment will include an extra fee to account for the final week of classes in May. Tuition does not include weeks that the studio is closed.

Early Withdrawal/Drop: There will not be any refunds, account credits, or prorating due to early withdrawal or dropping of a class. If your dancer decides to withdraw from a class, please note the tuition schedule on our Calendar of Events (in studio and on our website) to ensure you formally notify by email to admin@haverforddancecenter.com prior to the start of the next 6-week session. No refunds/credits will be given once payment has been processed.

Recital Costumes: Costume fee information will be sent out in early fall with recital details.  Fees will be posted to your account according to the Calendar of Events (Payment #1: November 17th, Payment #2: December 15th). If a dancer is not planning on participating in the recital, written notice to admin@haverforddancecenter.com must be given to HDC no later than November 10th (when the recital participation form is also due) to notify us that your dancer will not be participating in the June recital. Otherwise, we will assume your dancer is participating and will order your child a recital costume.  There are no refunds for costume fees once the costumes have been ordered.

Performance & Recital Tickets: Please be mindful of the dates and number of tickets when purchasing your performance (Nutcracker & Spring Show) and June Recital tickets. There will be no refunds/credits for any unused tickets. If you need handicapped accessible tickets, please reach out directly to admin@haverfordancecenter.com.

June Dress Rehearsal & Recital: Please note that we cannot promise to accommodate conflicts for dress rehearsal (mandatory) and recital performances.  Please block these dates out on your calendar (June 5th through June 8th, 2026). Although we will do our best to take this into consideration during the planning process, HDC cannot guarantee that siblings or dancers in multiple classes will be participating in the same recital performance. Lastly, dancers must participate in both dress rehearsal and recital.  If your child cannot participate in the recital performance, they cannot perform in the dress rehearsal.

Drop Off & Pick Up: For the safety of our families and the courtesy of our neighbors, parents should not park in the parking areas indicated with a “No” or block our neighbor’s driveways. There are plenty of residential spaces to park in and safely walk your dancer to our front entrance.

Communicating with HDC: If your dancer will be missing class, please contact the front desk (610-446-8844) to notify us of the absence (DO NOT text or email absences). Apart from communicating class absences, EMAIL IS THE PREFERRED METHOD for communicating with us.  Please contact kristina@haverforddancecenter.com for all questions.  If you need immediate assistance, please call the front desk as this number is also routed to us outside business hours.  Please note that HDC will no longer be conducting HDC-related business on Miss Kristina’s personal line.  Please note that if you reach out to this number, you will not receive a response.

Class Cancellation: HDC may need to cancel classes that do not meet minimum enrollment requirements.

Weather-Related Closings: In the event that HDC must close due to inclement weather, we will send an email and a text message to all staff and dance families upon arriving at a decision to open late, end early, or close entirely. In the event of a class cancellation, dancers are encouraged to make up the class.

Missed Classes: Dancers are encouraged to make up any missed classes for any reason in a level equal to the one canceled, within 1 month of the missed class. It is the responsibility of the dancer/parent to make these arrangements.

Dancer Guidelines: Dancers are expected to come to class in the appropriate attire, appropriate hair (buns for ballet), and appropriate footwear. Please allow for time before class for dancers (especially our little ones) to use the restroom. Requests during class are a distraction to both the dancer and other classmates and pull our assistants away from the rest of the class. Dancers are expected to treat their teachers, peers, and themselves with respect. Dancers may be asked to leave the room if they are disrespecting staff and/or classmates.

Class Placement & Attendance: All dancers are placed according to their age and ability. Class placement will be carefully assessed by the teacher and director. Previous dance experience may or may not be considered in a placement evaluation. Please understand a child may repeat a level for several years either due to their ability and/or their age. Poor attendance will have consequences in current and/or future placement. Regular attendance is essential to maintain and/or advance in your selected level.  If an injury occurs, dancers should still attend class to observe and learn the lesson.
